| Quick answerTo sell company vehicles in
Dubai, first confirm the company owns each one outright, clear any finance or
fines, gather the trade licence and authorised signatory documents, prepare
service records, decide whether to sell as a batch or one by one, and take
the VAT question to your accountant. Export buyers value consistent records
and models with demand abroad.

A business that sells a vehicle is in a
different position from a person selling their own car. There are more people
involved, more paperwork, and more at stake if a step is missed. A fleet
manager who clears ten vehicles at once has the added problem of doing it
without leaving drivers stranded.
This guide is written for the person who has
been asked to dispose of company vehicles and wants a clear order of work. It
covers ownership checks, documents, preparation, batch or single sales, how
buyers value fleet cars, and the questions to ask any buyer.

WHEN FLEET DISPOSAL MAKES SENSE
Most fleets sell vehicles on a cycle rather
than when they fail. Common triggers are an age or mileage limit in the company
policy, the end of a warranty, a change in business needs, a new contract that
needs different vehicles, or a closure or restructuring.
The best moment to sell is usually before
maintenance costs begin to climb, while the vehicles still have records and a
clean condition. Selling late tends to lower the price and shrink the pool of
buyers.
STEP ONE: CONFIRM WHO ACTUALLY OWNS EACH VEHICLE
Do not assume that every vehicle in the fleet
is yours to sell. Check each one.
A vehicle on a lease belongs to the leasing
company, not to your business, and the lessor controls whether and how it can
be sold. A vehicle bought with finance may carry a bank liability that has to
be settled first. A vehicle registered in a director's name rather than the
company's has a different paperwork route. Mixed fleets are common, so a simple
register that lists the owner, finance status and registration holder for every
vehicle saves a lot of delay.
STEP TWO: DOCUMENTS FOR A COMPANY SALE
A company sale usually needs more than an
individual's. The exact list depends on the vehicle and the RTA's current
requirements, but these are the items businesses are most often asked for.
Documents commonly needed for a company vehicle sale
| Document
| Why it is
needed
|
| Vehicle registration card
(Mulkiya)
| Proves registration and
vehicle details
|
| Trade licence copy
| Shows the company exists and
is entitled to trade
|
| Authorised signatory's
Emirates ID and passport
| Identifies the person who
can sign for the company
|
| Proof of authority to sign
| Such as a company resolution
or power of attorney, where the signatory is not obvious
|
| Bank settlement letter (if
financed)
| Shows the liability has been
cleared
|
| Clear traffic fines
| Open fines can block
transfer or export
|
| Service records for each
vehicle
| Supports mileage and
condition
|
Confirm the list with the RTA for your
specific vehicles. Requirements can differ for different types of company and
for different vehicle categories.
STEP THREE: PREPARE THE FLEET
A little preparation tends to pay for itself.
Remove or cover company branding, unless the buyer wants it left. Remove
tracking devices, fuel cards and any personal or company data from infotainment
systems. Compile the service history for each vehicle in a single folder. Clean
the vehicles and take clear photographs in daylight. If a vehicle has damage,
document it honestly.
Buyers who purchase many cars look for
consistency. A fleet where every vehicle has a full service record is much
easier to price than one where some do and some do not. Our guide to
fleet vehicles for sale in Dubai shows how
buyers look at that kind of stock.
STEP FOUR: BATCH OR ONE BY ONE?
There is no single right answer. It depends
on how quickly you need to clear the vehicles, how similar they are, and how
disruptive it would be to lose them all at once.
Batch sale and single sales compared
| Point
| Batch sale
| One-by-one
sales
|
| Speed
| Faster, one negotiation
| Slower, many negotiations
|
| Price per vehicle
| Buyer may discount for
volume
| Can suit stronger vehicles
individually
|
| Paperwork
| One process, but more
documents at once
| Repeated for each vehicle
|
| Operations
| Risk of losing many vehicles
at once
| Easier to stagger and keep
operations running
|
| Best for
| Uniform fleets, closures,
urgent clearances
| Mixed fleets, high-value
vehicles
|
A middle route often works well: sell the
weaker, older vehicles as a batch and place the stronger ones individually.
Stagger handovers so that replacements arrive before the old vehicles leave.
HOW BUYERS VALUE FLEET VEHICLES
Fleet vehicles are often called ex-fleet, and
buyers have mixed feelings about the label. They are often serviced on a
schedule, which is good, but they usually carry higher mileage and have been
driven by many people. What decides the price is the record and the condition,
not the label. The factors that move the price are set out in our guide on
why Dubai export car prices differ.
VAT AND ACCOUNTING: TAKE IT TO YOUR ACCOUNTANT
How VAT applies to the sale of a company
vehicle depends on your registration, how the vehicle was treated when it was
bought, and who the buyer is. Sales to buyers who export the vehicle outside
the GCC are generally zero-rated, but only when the seller holds the customs
evidence that the goods left the country. Local sales have their own treatment.
The
UAE Federal Tax
Authority publishes the rules, and your accountant should confirm
how they apply to your sale before you agree a price.
On the accounting side, update the fleet
register once the transfer or de-registration is complete, cancel insurance and
any toll or fuel accounts linked to the vehicle, and keep the sale agreement
and proof of transfer on file. Check that fines linked to your drivers have
been cleared or assigned.
QUESTIONS TO ASK ANY BUYER
| Question
| Why it
matters
|
| Are you buying the vehicles,
or listing them for others?
| It decides who pays you,
when, and who carries the risk
|
| What is the price per
vehicle, and what deductions apply?
| A batch price can hide
charges
|
| How and when will I be paid?
| Payment before handover
protects the company
|
| Who completes the transfer,
de-registration and customs steps?
| Avoids missed steps and
unexpected fines
|
| Can handovers be staggered?
| Keeps operations running
while replacements arrive
|
| What happens if the offer
changes after inspection?
| Offers can move once the
vehicles are checked

FREQUENTLY ASKED QUESTIONS
Can a company sell vehicles that are on lease?
Not on its own. A leased vehicle belongs to
the lessor, so any sale or early buy-out needs the lessor's agreement and
process.
What documents does a company need to sell a vehicle in
Dubai?
Typically the registration card, a copy of
the trade licence, the authorised signatory's Emirates ID and passport, proof
of authority to sign, a bank settlement letter if financed, and clear fines.
Confirm the current list with the RTA.
Is it better to sell a whole fleet at once?
It is faster and simpler, but the buyer may
discount for volume and you may lose many vehicles at once. A mixed approach
often works better, with weaker vehicles sold as a batch and stronger ones
placed individually.
Does VAT apply when a company sells a vehicle?
It can, and the treatment depends on the
sale. Exports outside the GCC are generally zero-rated with customs evidence,
while local sales are treated differently. Confirm with the Federal Tax
Authority or your accountant before agreeing a price.
Do export buyers purchase ex-fleet vehicles?
Yes, particularly models with strong demand
abroad. Records and condition drive the price more than the ex-fleet label.
How long does a fleet disposal take?
It depends on the number of vehicles, how
complete the paperwork is and how quickly any finance can be cleared. We do not
quote a fixed time, because that would be a guess.
